University and employee protocols

This page serves as the guide as employees return to campus. These guidelines have been produced using the collaborative effort of multiple departments across campus, best practice publications and recovery readiness models. Careful consideration has also been made to abide by the Ohio Health Director’s Stay Safe Ohio Order

How UA will contribute to a safe working environment:

Scheduling the workday

  • With supervisor approval, employees may continue to work from home under the Flexible Work Arrangement Policy
  • Supervisors will determine departmental work schedules to balance physical employee presence with the department’s internal and external (in-person service) demands.  This scheduling may entail earlier or later start times and splitting time between working on campus and working remotely; and
  • Require employees to remain home if the employee is sick, has a fever or other signs of illness.

Wearing face coverings

Encouraging physical distancing

  • Provide workspaces that provide for 6 feet of distancing;
  • Encourage use of virtual meeting platforms and limiting, whenever practical, the frequency of in-person meetings; and
  • Provide safety barriers allowing for interaction within 6 feet with co-workers, students or customers when it is the only option available.

Increasing signage

  • Post signage across campus to encourage employees to regularly wash their hands along with other safety and health recommendations; and
  • Post signage on health and safety guidelines.

Cleaning and disinfecting

  • Conduct daily disinfection of common areas and high-touch surfaces including:
    • Building entrance and exit door handles;
    • Common area tables;
    • Common area chair arms;
    • Stair railings;
    • Restroom facilities; and
    • Elevator buttons.
  • Disposal of trash;
  • Provide disinfectant spray, face coverings (2 per employee), Plexiglas barriers and gloves. Departmental requests for these products can be made here;
  • Provide hand sanitizer in commonly used areas; and
  • Assign staff to daily disinfect high-touch office areas including:
    • Desks;
    • Filing cabinets;
    • Copy machines;
    • Door handles;
    • Time clocks; and
    • Portable radios.
  • Drinking fountains will be disabled, but the no touch water bottle fill stations will be functional.

Employee expectations

How employees will contribute toward a safe working environment:

  • Daily health monitoring. Employees are strongly encouraged to take their temperature before reporting to work each day. If their temperature exceeds 100.4, the employee shall report off work and remain home. Employees who have a fever must stay home until (1) free of fever, without use of medicine, for at least 72 hours (three full days), AND (2) symptoms have improved for at least 72 hours, AND (3) at least seven days have passed since symptoms first began;
  • Contact their healthcare provider should they or a family member have been exposed to someone with COVID-19, suspected to have COVID-19, or becomes ill themselves with either COVID-19 or suspected COVID-19. Exposed employees shall report off work to their supervisors and must remain home for 14 calendar days.  Supervisors will notify human resources so that proper COVID-19 notifications can be made.  If employees have questions concerning sick leave due to COVID-19, they can find information here;
  • Wear face coverings in accordance with the Ohio Department of Health, which includes guidelines for the exclusion of some individuals.  More information on face coverings can be found here;
  • Be mindful of physical distancing guidelines while:
    • Using restrooms;
    • Using elevators; and
    • Walking in hallways.
  • The capacity for passenger and freight elevators has been reduced.  The new temporary maximum capacity is posted on each elevator.  Please be considerate and give priority to those with disabilities who cannot take the stairs or those making deliveries;   
  • Wash hands regularly and use hand sanitizer;
  • Use good cough etiquette;
  • Clean personal workspace areas including:
    • Desks;
    • Telephone;
    • Keyboards; and
    • Door handles.
  • In break areas:
    • Use disposable utensils;
    • Sanitize touch areas on refrigerators, microwave ovens, water coolers and coffee pots; and
    • The occupancy of office break areas should be reduced by about 75% or closed for eating purposes.
  • Discard shared containers for candy and collections; and
  • Employees that operate University vehicles should limit the number of occupants.
